How to switch field service software without losing your data
The fear that stops most software switches is losing history: the customers, the job records, the open balances. You do not have to choose between that history and a better tool. A careful, phased migration brings the data with you and keeps you running the whole time.
Get your data out first
Before you commit to anything, confirm you can export the records that matter. Most systems will give you a CSV of customers, jobs, and invoices. Pull those exports and actually open them, so you know what you have and where the gaps are.
- Customers and contacts, with addresses and phone numbers.
- Open and recent jobs, so nothing in flight gets dropped.
- Outstanding invoices and balances, so you keep collecting.
- Recurring agreements or memberships, with their next billing dates.
Move in phases, not overnight
The mistake is flipping everything on a Monday and hoping. Instead, import your customer and job history, run a few real jobs end to end in the new system, and keep the old one readable until you trust the new one. A phased switch means a problem is a small problem, caught early, not a crisis on go-live day.
Bring the team with you
Software switches fail on adoption more than on data. Train the office and the field before go-live, name one person who owns questions in the first weeks, and make sure the mobile app works the way techs actually work, because a tool the field resists never sticks.
